Getting started

How long does setup take?

Most teams are fully operational in under two weeks. Day one: connect your data source or drop a CSV. Day two: configure health score weights. Week two: first playbook live.

Can I import my existing customer data?

Yes. Upload any CSV and our AI column-mapper reads your headers and proposes a mapping. You confirm — or correct — before anything is saved. Supports up to 50,000 rows per import.

Do I need to involve IT or an admin to get started?

No. BentoCS is designed for CS teams to configure themselves. Integrations use OAuth flows with no infrastructure changes. The only thing that might need IT is SSO provisioning, which is optional.

What data sources does BentoCS pull from?

HubSpot, Salesforce, Stripe, Intercom, Slack, Zendesk, and Zapier (for anything else). Each integration takes under 10 minutes to connect via OAuth.

Health scoring

How is the health score calculated?

You define the signals and their weights in Settings › Health Scoring. Default signals include product adoption, renewal proximity, support sentiment, executive engagement, and contract value. Weights must sum to 100%.

Can I have different health models for different customer segments?

Yes — you can create saved segments (by ARR band, lifecycle stage, product tier, etc.) and apply different weight configurations per segment. Enterprise customers evaluating renewal behave differently from onboarding SMBs.

How often does the health score update?

Integration signals sync hourly. Health scores recalculate automatically after each sync. You can also trigger a manual recalculation from any customer detail page.

What is the lifecycle-proxy health score?

When you first import accounts before connecting live integrations, BentoCS uses a proxy model derived from lifecycle stage, contract value, and days since last activity. It degrades gracefully to give you a working score immediately while real signals come online.

Playbooks

What triggers can I use in a playbook?

Health score drops below threshold, lifecycle stage changes, Stripe payment fails, NPS score below threshold, usage drop > X%, renewal date within N days, sponsor departure (detected via email/Slack), or manual trigger.

What actions can a playbook take?

Create a task for the assigned CSM, add a tag to the account, send a Slack alert, log an activity note, or send an internal email notification. Multi-step sequences (e.g., Slack alert → task → follow-up email) are supported.

Are there prebuilt templates?

Yes — BentoCS ships with 20+ prebuilt playbook templates covering common CS motions: churn prevention, renewal risk, onboarding nudges, NPS follow-up, sponsor change response, and more. You can use them as-is or fork and customize.

Can a playbook run automatically, or do I have to approve it each time?

Both modes are supported. Set a playbook to "auto" and it fires immediately on trigger. Set it to "review" and it queues the action for a CSM to approve before execution.

QBR generator

What does the QBR generator produce?

A structured brief with: health score trend, key metrics (product adoption, support volume, renewal value), open risks and mitigations, wins from the quarter, and an agenda for the live session. Output is a shareable PDF or link.

What inputs does the QBR generator use?

Account health score history, notes added by the CSM, activity log, product usage signals, and contract data. You can also add free-text context before generating.

How long does generation take?

Under 90 seconds for a complete QBR brief. The output is editable before sharing.

Can I share the QBR with my customer?

Yes. Every generated QBR gets a shareable link. The customer sees a clean, read-only view — no BentoCS branding if you've set up workspace branding.

Customer portal

What is the customer portal?

A branded, read-only dashboard you share with each account. It shows their health score, open tasks, upcoming QBR date, and recent activity. No login required — access is via a secure token link.

How do I share a portal link with a customer?

From the customer detail page, click "Share portal." BentoCS generates a unique token link you can paste into an email or Slack. Links do not expire by default; you can revoke them at any time from the Portal tab.

Can I customize what the customer sees?

Yes. Toggle individual data sections on or off per customer. You can also add your company logo and brand color in Settings › Workspace Branding.

Billing & plans

What is included in each plan?

Starter ($249/mo): 100 customer accounts, 3 CSM seats, health scoring, playbooks, QBR generator, CSV import, HubSpot + Stripe sync. Growth ($499/mo): 500 accounts, 10 seats, plus customer portal, scheduling links, NPS + in-app messaging, advanced playbooks, Slack notifications, public API, and analytics. Business ($999/mo): 2,000 accounts, unlimited seats, plus Agentic CSM (autonomous daily briefings), AI sentiment + renewal forecasting, meeting recording with AI notes, SAML SSO, and SCIM provisioning.

Is pricing per seat?

No. BentoCS charges a flat monthly fee per workspace, regardless of how many CSM seats you add. Invite your whole team.

What is the founding customer offer?

The first 25 customers get 50% off for the first 12 months (FOUNDER50 applied at checkout). This is a one-time offer — once the 25 spots fill, pricing returns to standard rates.

Can I cancel at any time?

Yes. Cancel from Settings › Billing at any time. Your subscription continues until the end of the paid period. No lock-in, no cancellation fees.

Do you offer annual billing?

Annual billing with a 2-month discount is available. Contact us at team@bentocs.com to set it up.

Security & compliance

Where is my data stored?

All data is currently stored in the United States (AWS us-east-1 via Supabase) with continuous WAL backups. Additional EU and APAC residency regions are on the 2026 roadmap; if region pinning is a procurement blocker, email security@bentocs.com and we can scope it for your timeline.

Does BentoCS include AI agents?

Yes — the Business tier ($999/mo) ships Agentic CSM: a daily briefing that surfaces top renewal risks and expansion signals plus proposed actions you can approve in one click, or let run on autopilot per workspace policy. Sentiment scoring, renewal forecasting, and meeting-recording notes are bundled in the same tier.

Is BentoCS GDPR compliant?

Yes. BentoCS is GDPR-ready. We offer a Data Processing Agreement (DPA) that incorporates Standard Contractual Clauses for EU-to-US transfers. Download it at /legal/dpa.

Does BentoCS support HIPAA?

No. BentoCS is not a HIPAA covered entity or business associate and does not sign BAAs. Our DPA explicitly prohibits uploading Protected Health Information (PHI) through the platform.

What encryption does BentoCS use?

TLS 1.2+ for all data in transit. AES-256 encryption at rest. Postgres Row-Level Security enforces strict multi-tenant isolation — no customer can access another's data at the database level.

Where can I find your sub-processors?

The full list is at /legal/sub-processors. We update it with at least 10 days' notice before any change.
